Crew Scheduling That Says Who, Not Just When
Most contractor calendars tell you a job is scheduled. ayrflow tells you which crew has it, for how long, and what else they are carrying that week.
Built around crews
When you schedule a job in ayrflow, it asks which crew — drawn from the crews you set up in settings, with their members and hourly rates. That single decision drives the rest of the system: the calendar shows the crew name on the block, the crew's own Today view picks it up, and labor cost calculates from the rates of the people actually assigned.
- Named, color-coded crews. Each crew gets a color you choose, and the name renders on the job itself so a glance is enough.
- Pinned all-day work. Multi-day installs sit in a dedicated row above the time grid instead of blanketing every timed visit beneath them.
- Calendar date picking. Pick days from a real calendar popover rather than typing dates, including multiple days for one job.
- Day, week, and month views. Same data, three zoom levels, for dispatch in the morning and planning on Friday.
- Recurring jobs. Maintenance visits and service agreements generate onto the assigned crew automatically.
The Today hub
Owners and crews both start on Today: the day's jobs, the tasks that need doing, and the items the attention queue thinks matter most. You can move forward to plan the week or back to check what happened, and it always lands on today when you open it. Tasks can be created right there with an urgency level and assigned to a person or a crew, so the small things that never fit on a job record stop falling through.
Time clock and labor cost
Crew members clock in and out from their phones. Those hours, multiplied by each member's rate, become the labor line on job profitability without anyone rekeying a timesheet. Employers see the running time clock, can correct entries, and use it for payroll preparation.
Works with your existing CRM
If you run Housecall Pro or Jobber, scheduling stays in sync in both directions. Schedule in ayrflow and it appears in your CRM; move something there and ayrflow reflects it. You get crew clarity without stranding the office in a second calendar.
Frequently asked questions
Can I see which crew a job is assigned to at a glance?
Yes. Crews are named and color coded, and the crew name appears on the job block itself — something CRM calendars that only color by status cannot show.
How are all-day jobs handled?
All-day work pins to a separate row above the time grid so multi-day installs never cover the timed visits underneath them.
Does scheduling sync with Housecall Pro and Jobber?
Yes. Jobs scheduled in ayrflow sync to your connected CRM, and changes made there flow back.
Can field crews see only their own work?
Yes. Crew accounts land on a personal Today view with their assigned jobs, tasks, and time clock, without access to company-wide financials.
